Evaluation Criteria

Applications are evaluated according to the quality of the proposed event, its feasibility, and the capacity to succeed:

  1. Quality of the proposed event and its potential for promoting research ethics and/or the responsible conduct of research
    1. Clarity of the stated objectives and plan.
    2. Relevance of the proposed event to the objective of the SETS program.
    3. Appropriateness and quality of the event’s program in relation to its theme(s).

    Applicants must provide a draft agenda/plan, including topics/themes, as well as justification for selecting the specific topics/themes for the event.

  2. Impact
    1. Extent to which the event is attracting significant participation and its potential impact beyond the event. This includes the:
      • geographical scope of the proposed event;
      • diversity of disciplines expected at the event;
      • extent to which the proposed engages relevant stakeholders;
      • plan to disseminate the knowledge generated by the event to the broader community.
    2. Evaluation plan of the proposed event.
  3. Feasibility
    1. Clarity and justification of the budget request.
    2. Extent to which the applicant is pursuing options to reduce the cost of the event or to attract other sources of financial or in-kind support.
      • All budget items must be eligible expenses according to the Agencies’ guidelines.
      • Applicants must provide details and justification for each budget item listed.
      • Where appropriate, applicants must provide supporting documentation (e.g., quotes to justify the proposed costs for the requested items, letters of support.)
      • Applicants must also list: the total budget for the event; other sources of funding they received/have pursued (including in-kind contribution), and the percentage of the requested SETS funding compared to the total event budget.
  4. Knowledge and experience relevant to ensuring a successful event
    1. Experience/expertise and knowledge of the applicant;
    2. Involvement of necessary expertise in the organization of the event;
    3. Involvement of relevant experts/speakers.
